Make sure all relevant paperwork is completed before a Fire Risk Assessment is conducted. This will save time in the long run and allow the assessor to complete the assessment of your premises efficiently.

Previous Assessment Reports

Previous Assessment Reports – Records of previous assessments completed on your building, highlighting identified risks, proposed actions and confirmation of any actions completed.

Floor Plans and Building Layout

A current floor plan highlights escape routes, fire doors and where hazards may be located. Also, highlight any changes to the building such as recently completed partition walls or altered storage areas.

Maintenance and Inspection Logs

As stated previously, maintenance and inspection records for fire safety equipment i.e. fire alarm servicing, extinguisher checks, emergency lighting tests and fire door inspections should also be readily available and include the date of inspection, findings and signatures of engineers etc.

Staff Training Records

Make a log of the dates of the fire safety training, and a list of the people who attended each session. This will include the induction training and any subsequent fire safety training, i.e. refresher sessions and also any additional fire safety training i.e. fire marshals.

Keep Everything Accessible

Physical copies of your documentation should be stored in a clearly labelled folder and also copied to a computer for back-up purposes. The building owner is required to maintain documentation for fire safety purposes and to produce copies of such documentation to any person who requires them to be inspected.

Using this Fire Risk Assessment documentation at the start of your assessment saves a lot of time and ensures that your assessment is carried out in the most efficient manner.
